How a WhatsApp AI agent books appointments into Google Calendar

How an AI agent books WhatsApp appointments into Google Calendar: real open slots, confirmation in the chat, reminders and the honest limits.

By WeAutomate · Published 13 September 2026 · 7 min read

A WhatsApp AI agent books an appointment by checking your Google Calendar for free time, offering the customer two or three real slots in the chat, and saving the one they pick as a calendar event. It confirms in the same conversation and sends a reminder before the visit. There is no link and no form.

What does the customer see, and what do you see?

For the customer, it feels like texting a quick, well-informed receptionist. They ask, get a straight answer with a price, choose from a couple of times and receive a confirmation. All of it happens in the chat they already opened.

That matters because every extra step loses people. A booking link that loads slowly on mobile data, a form that asks for ten details, a promise to “call you back to confirm”: each one is a chance for the customer to put the phone down and book with someone else.

On your side, a new event appears in Google Calendar and the full conversation sits in your dashboard. You can read it, check what the customer asked for, or step into the chat yourself.

How does the agent get from a question to a booked slot?

WeAutomate’s agent follows the same sequence each time.

  1. The customer asks. “Uko free Saturday for a pedicure?”
  2. It works out what is being booked. Which service, for whom, and anything that changes how long it takes.
  3. It reads your calendar. It looks for free time inside the working hours and rules you have set.
  4. It offers a short choice. Two or three slots rather than a whole timetable, so the customer can answer in one word.
  5. The customer picks one.
  6. It creates the event in Google Calendar. The booking goes straight in. Nobody has to copy it across from the chat later.
  7. It confirms in WhatsApp. Day, time, place and anything the customer should bring.
  8. It sends a reminder before the appointment, so fewer people forget.
  9. You stay in control. The booking and the chat show in your dashboard, and you can take over at any point.

Why does it ask questions before it books?

A slot in your diary is only worth something if the right person fills it. Book everyone who asks and you end up driving to viewings with tenants who cannot afford the rent, or blocking an hour for someone who only wanted a price list.

A few questions up front sort this out:

  • A dental practice needs to know whether it is a check-up or an extraction, because they take different lengths of time and may need different staff.
  • An estate agency needs the budget, area and move-in date before anyone drives out.
  • A school needs to know which class the child would join, so the right person meets the family.

Answering takes the customer a minute. A wasted appointment costs you an hour or more.

What rules does the agent need from you?

The agent follows your rules to the letter, so the rules have to be right. Without them it will offer any empty slot, including the Sunday afternoon you keep for yourself.

Decide these before the setup call:

  • Opening hours for each day, including Saturdays, Sundays, half days and public holidays.
  • How long each service takes. A trim and a full head of braids are not the same booking.
  • Minimum notice, meaning the earliest it may book. For example, no same-day bookings after noon.
  • Breaks between appointments, if you need time to clean up, prepare a room or travel.
  • What it must leave to you. Large jobs, first visits for certain treatments, group bookings or anything that needs your judgement.
  • Who handles changes and cancellations, and how customers should ask for one.

The WeAutomate team builds these rules into the agent during setup and tests them against your real calendar before any customer sees them. For the full list of what to prepare, see setting up a WhatsApp AI agent.

What does booking look like in different businesses?

These examples are illustrative. The businesses, prices and times are made up to show how the flow works.

Salons and spas

Stylists cannot type with their hands full, so booking questions stack up during the busiest hours. Here a customer writes in Sheng and the agent answers in kind:

Customer: Niaje, mko na slot ya pedicure Jumamosi?

Agent: Poa! Pedicure ni KES 1,500, inachukua kama saa moja. Jumamosi tuko na 10:00 AM au 3:00 PM. Ipi inakufaa?

Customer: 3 sawa

Agent: Umewekwa Jumamosi 3:00 PM. Nitakutumia reminder Ijumaa jioni.

When customers give times the Swahili way, such as “saa tisa” for 3:00 PM, the agent has to convert them correctly before it writes to the calendar. We cover that in can a WhatsApp AI agent reply in Swahili and Sheng? There is more on the salons and spas page.

Clinics and dental practices

The agent answers questions about opening hours, location and insurance, then books the visit. Anything clinical, such as pain, symptoms or which treatment someone needs, goes straight to your staff. It books appointments. It does not give medical advice. See the clinics and dental page.

Real estate viewings

The agent collects the budget, area, number of bedrooms and move-in date, sends the listings that match, then offers viewing times from your calendar. Your team only drives out for people who are ready. See the real estate page.

Schools and colleges

Parents often research schools after work. The agent answers questions on fees, intake dates and admission requirements from the documents you provide, then books a school visit on the days you receive families. See the schools page.

What are the honest limits?

  • It can only see what is in the calendar. Walk-ins and phone bookings must go into Google Calendar too, or the agent may offer a slot that is already taken.
  • It books into Google Calendar only. If your diary is a paper book or another system, it will not connect to it.
  • It does not take phone calls. Customers who ring still need a person.
  • It does not confirm payments. For deposits it shares your Paybill or Till, and your team confirms the M-Pesa payment.
  • Some bookings belong with a person. For hotel rooms with changing rates, transfers and payment, the agent gathers the details and hands the booking to your reservations team. See the hotels and travel page.
  • WhatsApp messages can carry a Meta fee. Meta’s developer documentation says that from 1 October 2026 it will charge per message for service messages on the WhatsApp Business Platform. Confirmations and reminders sent on WhatsApp through the Platform are messages like any other. Read what the October change means.

When is automatic booking not worth it?

If you take a few bookings a week and always reply within minutes, you probably do not need an agent for this. A well-kept Google Calendar and a few saved replies will do. The same goes for businesses where nearly every booking comes by phone. Automatic booking earns its keep when requests arrive in the evenings, at weekends and while your hands are busy.

Where WeAutomate fits

Google Calendar booking with reminders is part of every WeAutomate plan. The team connects your calendar, sets your booking rules, tests them on real questions and keeps them up to date as your hours and services change. You see every booking in your dashboard and can take over any chat. Setup is free. Starter is KES 10,000 a month and Business is KES 15,000 a month, with no long contract. Meta’s message fees are billed by Meta where they apply.

Questions

Does the customer have to click a booking link or fill in a form?

No. The agent offers open times inside the WhatsApp chat, the customer replies with the one they want, and the confirmation arrives in the same chat. There is nothing to download and no form to complete.

Can the agent double-book a slot?

It only offers time that is free in your Google Calendar, so a slot already taken there is not offered. The gap to watch is bookings that never reach the calendar, such as walk-ins or phone bookings written in a notebook. Keep Google Calendar as your single diary.

Does it work with calendars other than Google Calendar?

WeAutomate's agent books into Google Calendar. If your diary lives in another system, raise it on the demo call before you decide, so you know exactly what will connect.

Can the agent take a deposit?

It can send your Paybill or Till and your payment instructions at the right point in the chat. It does not confirm M-Pesa payments itself, so a person on your team confirms the deposit and the booking carries on from there.
